One QR card on the table can boost the number of uploaded event photos by tens of percent. The same card placed in the wrong spot goes unnoticed all evening. The difference comes down to three things: where you put it, how big it is, and whether anyone says it out loud.
Where to put the card
- Every table, not just the entrance. At the entrance, the first twenty guests scan it and then everyone forgets — their minds are on other things.
- The bar and the cake table. Places where guests are already standing with a phone in hand.
- The photo booth, if you have one. Exactly where people are already taking photos.
How big it should be
A card smaller than 3×3 cm is hard to scan from a distance or in low light. Stand it on a small holder or lean it against a glass — laid flat on the table, plates quickly cover it.
Why it has to be said out loud
The card alone isn't enough. One sentence from the host or DJ — "Upload your photos using the code on the table" — can double the number of uploaded photos. A QR code shown directly in the live slideshow on screen works the same way — guests scan it straight from the dance floor.
The second wave of photos
The best shots often come in a day or two after the event, once guests go through their own camera roll at home. Send the gallery link once more in the group chat — this reminder regularly brings in the second half of all the photos. For why it's better to collect photos outside a chat at all, see How to Collect Photos From Guests Without a WhatsApp Group.
