How Pixelka works. Step by step.

Nine short chapters from the first click to a photo book on the table. Each chapter says what to do, where to find it in the app and what to watch out for. Read in order or jump to what you are working on right now.

Chapter 1 · 3 min

Creating a gallery

A gallery is born from one form. You do not need an account first — it is created with your first gallery and you sign in by e-mail, no password.

Where in the app: pixelka.sk → Pricing → pick a plan

  1. Pick a plan

    Free is enough for a trial or a small party (100 photos, 30 days of uploads). For a wedding or a corporate event choose a paid plan — you can upgrade any time later, even during the event.

  2. Fill in three fields

    Gallery name (e.g. “Hanna & Mike”), event date and your e-mail. The name becomes the address, name.pixelka.sk; you can change it in Settings.

  3. Open the e-mail

    Within a minute you get a message with two links: the admin link (only for you — never share it) and the guest link with the QR code. Check Spam too.

  4. Sign in to My galleries

    At pixelka.sk/moje enter your e-mail — a sign-in link arrives. Here you see all your galleries, can generate a new admin link and set a password.

Tip

Create the gallery at least two weeks before the event: enough time to print cards, test uploading from your own phone and put the link in the invitation.

Chapter 2 · 5 min

Look, theme and language

The wall, invitation and print templates share one look. Choose it once and everything adapts — 69 themes in nine groups, your own colour and font.

Where in the app: Gallery admin → Look

  1. Choose a theme

    Themes are grouped by event type (wedding, party, corporate, conference, kids, seasons…). Each card shows a thumbnail of the wall; the Preview button opens it live on your wall and you either confirm or go back.

  2. Fine-tune colour and font

    The accent colour and font override the theme defaults — handy when the event has its own visual identity or brand colours.

  3. Upload a logo and cover

    The logo appears in the wall header and on print templates. Set the cover photo with the star on any photo in the Photos tab.

  4. Set the language

    In Settings choose the default gallery language. Guests see the wall in their phone’s language (Slovak, Czech, English, German, Hungarian, Polish and more) and can switch it in the footer. The gallery admin runs in the language you choose there.

Tip

You can change the theme during the event — guests see it the next time they open the wall; printed cards stay valid.

Chapter 3 · 10 min

QR code, link and invitations

Guests reach the gallery three ways: a QR card on the table, a link in a chat or a digital invitation with RSVP. All three together work best.

  1. Download the print templates

    The Print tab has PDFs in the gallery colours: table card (A6), bar stand (A5), welcome board (A4), name tags, stickers and table numbers. Edit the card text (“Shoot us the way you see us”) there too.

  2. Print and place

    Heavier paper, 200–250 g, QR at least 3 × 3 cm. One card per table, a bigger one at the bar and by the cake. Scan the code with an iPhone and an Android before the event.

  3. Send the link

    Copy the guest link from Overview with one button and paste it into the group chat or the invitation. Link and QR lead to the same wall.

  4. Digital invitation with RSVP

    In the Guests tab add guests (name, phone, e-mail), edit the message and send each a personal link via WhatsApp, Viber, SMS or e-mail. You see who opened and who is coming; a week before the event remind those without an answer.

  5. Event website

    On higher plans the gallery also has an event page: venue with map, programme, dress code, accommodation, gifts, your story. Empty sections are hidden from guests.

💡
Tip

One sentence from the host or DJ (“Upload your photos via the code on the table”) doubles the number of photos. Show the QR in the slideshow on screen too.

Chapter 4 · 4 min

Guests upload — no app

This is the heart of Pixelka: a guest scans the code, types a name and uploads photos. No install, no sign-up, no password. Works on iPhone and Android.

Where in the app: Gallery wall → Upload photos

  1. Scanning the code

    The camera on iPhone and Android reads the QR code itself and opens the wall in the browser. The guest types a name (once — the phone remembers it).

  2. Choosing photos

    The Upload photos button opens the phone gallery — dozens of photos can be selected at once. iPhone sends HEIC, Pixelka converts it. Videos up to 3 minutes and 200 MB.

  3. Uploads even on a weak signal

    When the connection drops, photos are queued and sent when it returns — the guest can close the phone.

  4. Albums, photo tasks, guestbook

    On higher plans a guest picks an album (e.g. Ceremony, Reception, From the photographer), completes a photo task from the list (“selfie with the bride”) or bingo, writes a guestbook message and suggests a song for the DJ.

  5. Likes and Find my photos

    Guests can like photos — a Top ranking builds up. If face search is enabled in the plan, a guest takes a selfie and gets only the photos they are in.

Tip

Test uploading from your own phone the day before (Overview → First steps). You will see exactly what guests see, then delete the test photo.

Chapter 5 · 5 min

During the event: screen, approval, notifications

Photos appear on the wall and on the screen within five seconds. You only have your phone — approve, delete and watch how many guests have uploaded.

  1. Slideshow on TV or projector

    The Slideshow button (or gallery address + /slideshow) in a browser on a laptop with HDMI, via Chromecast, AirPlay or directly in Android TV. Full screen, QR code in the corner, 3–30 s interval and music in Settings.

  2. Approval mode

    For corporate events and kids’ parties turn on approval in Settings: a photo reaches the wall only after your tap in the Approval tab. The AI pre-filter lets clean photos through immediately and leaves only blurry, dark, duplicate or inappropriate ones for approval.

  3. Deleting an inappropriate photo

    The cross on a photo — it disappears from the wall, the slideshow and the disk immediately. You always see all photos, even when guests cannot see the wall.

  4. Co-hosts and moderator

    In the Guests tab invite co-hosts (number per plan) — they get their own admin link. A moderator with the /moderacia link sees only photos awaiting approval, nothing else.

  5. Push notifications

    In My galleries or in the admin turn on notifications: new photo, RSVP, photos awaiting approval. On iPhone add Pixelka to the home screen (Share → Add to Home Screen), otherwise iOS does not deliver notifications.

💡
Tip

Laptop by the screen: turn off the screensaver, “never sleep”, plug in the charger. The slideshow then runs all evening untouched.

Chapter 6 · 6 min

After the event: picks, recap video, ZIP, photo book

Half of the photos arrive the next day — send the link once more. Then let Pixelka tidy up: pick the best, cut a video and prepare a book.

  1. AI best picks

    In the Fun tab → AI rates sharpness, exposure and duplicates and marks a “Best” selection. Auto albums sort photos by time and place, AI adds captions — you can fix everything by hand.

  2. Recap video

    One button makes a cut of the best photos with music — in 16:9 for TV and 9:16 for Instagram and stories. Processing takes a few minutes; we notify you when the video is ready.

  3. Download everything

    The Download all button creates a ZIP in original quality, also per album. You can turn off downloads for guests in Settings; you always have them.

  4. Photo book

    In the Print tab order a printed book from the selection — 20 or 40 pages, PDF preview before ordering, delivery by post. Needs at least 18 or 38 photos in the selection.

  5. Locking and retention

    When the upload window ends the gallery locks — guests keep browsing and downloading. Photos stay 12 or 24 months depending on the plan (Free: 14 days full view, then thumbnails). We e-mail you 30 and 7 days before the end; extend with an upgrade.

Tip

Send the recap video to the group chat together with the gallery link — it is the most natural thank-you and guests upload what is still on their phones.

Plans, payment and receipt

You pay once per gallery, not monthly. Prices are in your country’s currency, the receipt comes by e-mail, you can upgrade any time.

  1. Choose by event size

    What matters: upload window, capacity, number of co-hosts and features (albums, AI, recap, event website, screens). The current price list is below and on the home page.

  2. Pay by card or QR transfer

    Card payment activates the gallery immediately. For a bank transfer you get a QR code for your banking app with the amount and reference; after the payment arrives we activate usually the same working day.

  3. Receipt and invoice

    After payment a receipt (PDF) arrives by e-mail. Companies enter billing details and VAT ID at checkout — the invoice is in the order language and EU-VAT compliant.

  4. Coupon and partner code

    A coupon from EventPixel activates the gallery for free in the plan it grants. A partner code (photographer, DJ, planner) gives a discount on a paid plan. Both are entered at checkout.

Tip

Start with Free and upgrade once you know how many guests are coming — all photos, settings and the QR code stay.

Chapter 8 · 3 min

Privacy and security

Only people with the link see the photos. Servers are in the EU, nothing is sold or used for training, and you delete the gallery with one button.

  1. Where the photos are

    Files on a server in Germany, database in Slovakia. The gallery is not searchable — search engines do not index it.

  2. Password and visibility

    Password protection (several passwords too: VIP, photographer). Wall visibility: all guests, each guest only their own photos (collection mode) or host only — guests send photos but do not see them.

  3. Consent and contacts for companies

    Custom consent text before upload, collecting name and e-mail, approval mode, partner logos, a data processing agreement (DPA) to download.

  4. Deletion

    Delete a photo with the cross, the whole gallery in Settings — including all copies and thumbnails, immediately and permanently. After the retention period we delete automatically.

💡
Tip

The admin link is the key to the gallery. If it leaked, generate a new one in My galleries — the old one stops working, also for co-hosts.

Chapter 9 · 2 min

When something does not work

The nine most common situations and what to do. If the answer is not here, write to us via support in the footer — we reply on working days, higher plans have priority support.

The QR code cannot be scanned

It is too small or glossy. Print at least 3 × 3 cm on matte paper and add the short gallery address under the code — it can be typed by hand.

A guest uploaded a photo but cannot see it

Approval mode is on (the photo waits in the Approval tab) or the wall is set to “host only”. Both are in Settings.

The e-mail with the links did not arrive

Check Spam and Promotions. You can resend the link from My galleries (pixelka.sk/moje) — just the e-mail you created the gallery with.

Uploading from a phone fails

Weak signal in the hall — photos are queued and sent later; the guest should not leave the page immediately. A video over 3 minutes or 200 MB will not go through.

The slideshow does not show new photos

The device by the screen lost internet or the browser put the tab to sleep. Reload the page (F5) and turn off the screensaver.

Push notifications do not arrive on iPhone

iOS delivers notifications only to an app on the home screen: Share → Add to Home Screen, open from there and allow notifications again.

Lost admin link

My galleries → sign in by e-mail → “New admin link” next to the gallery. The old one stops working.

I changed the gallery address and the QR does not work

The old address redirects for 60 more days. Reprint the cards or change the address before printing.

The upload window has ended

In the Plan tab extend with an upgrade or ask us for a short extension — the photos are still there, the gallery is only locked.

Tip

Include the gallery address and exactly what the guest saw on the screen — we will solve it on the first try.

Glossary

Wall
The public gallery page where guests see photos and upload. Address in the form name.pixelka.sk.
Admin link
The secret link to the gallery admin (/sprava). Whoever has it manages the gallery — do not send it to guests.
Guest link
The link from the QR code; leads to the wall. This is the one you send to guests.
Upload window
The period from the event date during which guests can upload (30 days to a year depending on plan). Then the gallery locks.
Approval mode
A photo reaches the wall only after your approval. Suitable for companies and kids’ parties.
Co-host
A co-organiser with their own admin link. Number depends on plan.
Recap
A short video from the best photos with music, in formats for TV and for stories.
Photo tasks
A list of tasks for guests (“selfie with the bride”) they assign a photo to while uploading. Completed tasks are counted.

Frequently asked about the guide

Do I or my guests need to install anything?

No. Everything runs in the browser. As the host you can add Pixelka to your phone’s home screen — the gallery admin then behaves like an app and you receive notifications.

Can I manage the gallery from my phone?

Yes, the gallery admin is built for phones: approval, deleting, statistics and settings. A laptop is only more comfortable for uploading hundreds of photographer photos and for print templates.

How many galleries can I have?

Unlimited. Each gallery has its own plan, address and QR code; you see them all in My galleries under one e-mail.

Is the guide available in the app too?

Yes. The gallery admin has a Guide item in the side menu and First steps links to the chapter that helps right now. The page is updated with every Pixelka release.

What language will guests from abroad see the wall in?

Their phone’s language — Slovak, Czech, English, German, Hungarian, Polish and more. Set the default language in Settings.
